Keep your notes private and secure

Turn on App Lock and Remindly asks for Face ID or Touch ID before it shows your notes on your iPhone, iPad and Mac. When someone needs to see one note, share just that note as a read-only link, and turn the link off when you're done.

  • 3 minutes
  • Works on iPhone, iPad, Mac
  • A passcode on your device

Lock Remindly with Face ID

App Lock is off until you turn it on, and it's set separately on each iPhone, iPad and Mac. Repeat these steps on every device you want locked.

  1. Open Settings in Remindly.

On iPhone and iPad, tap the person icon at the top of the sidebar. On a Mac, choose Remindly → Settings…

  2. Under App Lock, turn on Require Face ID.

The switch is named for what your device uses: Require Touch ID, or Require Passcode (Require Password on a Mac) if it has neither.

  3. Confirm with Face ID, Touch ID or your passcode.

Remindly checks that it works before it turns on. On an iPhone or iPad with Face ID, you're asked the first time whether Remindly may use it. Allow it.

  4. Under Lock, choose how soon it locks after you leave.

Immediately, or after 1, 5 or 15 minutes, or an hour. iPhone and iPad start at Immediately. A Mac starts at After 5 Minutes, since you switch apps all the time there.

On a Mac, Lock when the screen locks is on as well. Remindly locks the moment your Mac locks or goes to sleep, however long the delay is.

If Face ID or Touch ID doesn't recognize you, use your device's passcode, or your Mac's login password. Remindly has no PIN of its own, so there's nothing extra to remember.

What App Lock is for. It keeps your notes out of sight when someone else picks up your unlocked iPhone or sits down at your Mac. It doesn't encrypt your notes or change how they sync. Anyone who knows your device's passcode can unlock it, and the web app doesn't have it. To keep a note unreadable on Remindly's servers, lock the note or its notebook.

What App Lock hides

While Remindly is locked, it shows a lock screen in place of your notes. It also keeps them out of the places they could be glimpsed from outside the app.

The app switcher

On iPhone and iPad, Remindly covers itself the moment you leave it, even before the lock delay is up. The app switcher shows a plain Remindly screen instead of your notes.

Notifications and the widget

With App Lock on, reminder notifications and the Lock Screen Reminders widget say only "Reminder", so no note's title shows on your Lock Screen. Tap one and unlock, and the note opens.

Mac windows

Each window is covered until you unlock, and is titled "Remindly" in the title bar, the Window menu and the Dock. The menu bar item offers Unlock Remindly… instead of your recent notes.

Shortcuts

Shortcuts that find, read or change notes ask you to unlock Remindly first. Shortcuts can't search or list your notes while it's locked.

Capture while locked

A locked Remindly still takes new notes. You can write one down without unlocking, and without seeing any other note.

  • From Remindly's lock screen: tap New Note. On iPhone and iPad you get a blank note (or Scan Document) that saves to All Notes. On a Mac it opens Quick Capture.
  • On iPhone and iPad: the New Note button on your Lock Screen, Control Center, Siri and Shortcuts all keep working.
  • On a Mac: Quick Capture with ⌃⌥N, Siri and Shortcuts keep working.
  • The share sheet: saving a web page or a link to Remindly works as usual. More about saving web pages.
  • Siri and Shortcuts: "Add a note in Remindly" saves without asking. Only the actions that open or change existing notes need you to unlock. More about Siri and Shortcuts.

Share one note by link

A share link shows a single note as a read-only web page. Whoever opens it sees that note and nothing else in your account. You choose who can open it, and you can turn the link off at any time. Links are made in the iPhone, iPad and Mac apps.

  1. Open the note and tap Share in the toolbar.

  2. Under Who can open it, pick one of the three choices below.

  3. If you like, turn on Expires and pick a date and time, or Limit views and choose how many.

Each person who opens the link uses one view. When the date passes or the views run out, the link stops working.

  4. Tap Create Link, then Copy Link, or Send… to pick an app or a person.

Remindly needs a connection to make the link. The note then shows a chip above its title, such as Shared with 2 people.

Anyone with the link

No sign-in and no code. Whoever has the link can read the note, so treat it like a key: anyone you send it to can pass it on.

Only people I invite

Add their email addresses. On the page, each person enters theirs and gets a 6-digit code by email to open the note. They don't need a Remindly account.

Anyone with the password

At least 6 characters. Send the password separately from the link, for example in a text message. Remindly can't show it to you again.

Faster from the list: touch and hold a note (right-click on a Mac) and choose Share → Copy Share Link. Remindly makes a link that's open to anyone and copies it. Open Share on the note to limit it.

What the shared page shows

A link for invited people or with a password asks for the code or the password first. Until then, the page shows nothing of the note, not even its title, and neither do link previews in chat apps. Once someone is in, they see a clean copy of the note with the Remindly name at the top. Nothing on it leads back into your account.

What people see

  • The note's title and when it was last updated
  • Its text, checklists and tables
  • Links to websites
  • Images and files the note shows

What stays hidden

  • Your name and email address
  • The note's tags, notebook and reminder
  • Your other notes: links to them show as plain text
  • Attachments the note's text doesn't show
  • It always shows the note as it is now. Edits you make after sharing appear on the page too, so stop sharing before you add anything private.
  • It stays out of search and caches. The page asks search engines not to list it and tells browsers not to store it, so once you stop sharing, it can't be opened again from a saved copy.
  • It doesn't give away its address. When someone follows a link in your note, the site they land on isn't told where they came from.
  • It's read-only. Nobody can change your note through the link, and the page runs no scripts.
  • You can see how often it's opened. For a link limited to invited people, a password or a number of views, the Share Link panel shows how many times it has been opened.

Want to send a copy instead of a live page? Share the note as Markdown. A copy doesn't change when you edit the note, but you can't take it back either.

Change or stop sharing

Open the note and tap Share, or the chip above its title. Change who can open the link, its expiry or its view limit, then tap Save Changes. Changes apply right away: someone you take off the list, or who only knows the old password, can't open the note any more.

To turn the link off for good:

  1. Open the note and tap Share, or the chip above its title.

  2. Tap Stop Sharing, then Stop Sharing again to confirm.

The link stops working for everyone, including people you let in earlier. They see "This note isn't available" instead.

  • Sharing again makes a new link. The old one never comes back, so a link that went to the wrong person stays dead.
  • An expired or used-up link stays on the note, with Link expired or Link used up above its title. Move its expiry or allow more views to turn it back on, or stop sharing.
  • Moving a note to the Trash hides its page until you restore the note. Restoring it brings the same link back, so stop sharing first if you don't want that.
  • Deleting a note for good deletes its link, and deleting your account deletes all of them.
  • To see what you've shared, look for the icons in your notes list: a globe for anyone, two people for invited people, a lock for a password.

Keep your account safe

App Lock covers your notes on one device. A few habits look after the rest.

Use a passcode

Your device's passcode, or your Mac's login password, is what App Lock falls back on, and it guards everything else on the device too. App Lock can't be turned on without one.

Sign in without a password

Continue with Apple or Google, or with your email: Remindly sends a 6-digit code that works once and expires in 10 minutes. An account made this way has no Remindly password to reuse or leak.

Add Apple or Google to your account in Settings → Sign-In Methods.

Sign out before you pass a device on

In Settings, tap Sign Out. Your notes are removed from that device and stay in your account. If it says changes haven't synced, tap Sync Now first.

On a shared computer, sign out of the web app when you're done.

If you lose a device

Use Apple's Find My to mark it as lost or erase it. Erasing removes Remindly's copy of your notes, which stay in your account for your other devices. With App Lock on, nobody gets into Remindly without your face, your fingerprint or the device's passcode.

Delete your account

  1. If you want a copy, export your notes as Markdown first.

  2. In the iPhone, iPad or Mac app, open Settings and tap Delete Account…

  3. Tap Delete Account and All Notes.

Your notes, notebooks, attachments, sign-ins and share links are deleted for good. This can't be undone.

If something's not right

Does App Lock encrypt my notes?
No. App Lock keeps your notes out of sight on that device. It doesn't encrypt them, and it doesn't change how they're stored or synced. Locking a note or notebook with a passphrase is separate: see how.
Remindly asks for my passcode instead of Face ID
Face ID may be turned off for Remindly. On your iPhone or iPad, open Settings → Face ID & Passcode → Other Apps and turn on Remindly. After a few failed tries, your device asks for the passcode anyway.
The App Lock switch is greyed out
App Lock needs a passcode on your iPhone or iPad, or a login password on your Mac. Set one in your device's settings, then come back to Remindly's Settings.
App Lock turned itself off
That happens when the device's passcode is removed, since there's nothing left to check. Set a passcode again, then turn App Lock back on in Remindly's Settings.
I turned on App Lock, but my other devices aren't locked
App Lock is set on each device separately. Turn it on in Settings on each iPhone, iPad and Mac. Until you do, that device's reminder notifications still show the note's title.
A shortcut says "Remindly is locked"
Shortcuts that find, read or change notes need Remindly unlocked. Open Remindly, unlock it, and run the shortcut again. Shortcuts that only add notes work while it's locked. An automation that reads notes in the background can't unlock Remindly, so it needs App Lock off.
I can't share a note
A note in the Trash can't be shared: restore it first. Making a link also needs a connection, so check that you're online.
I sent a link to the wrong person
If only invited people can open it, take their address off the list and tap Save Changes. Otherwise tap Stop Sharing: the link stops working right away. Then create a new link for the right people.
Someone I invited didn't get a code
They need to enter the exact address you added. Ask them to check their spam folder, or to tap Send a new code on the page. A code expires after 10 minutes.
I forgot the password I set
Remindly can't show it again. In the Share Link panel, type a new password, tap Save Changes and send the new one. The old password stops working.
Can I sign out my lost iPhone from my Mac?
Not from Remindly. Use Find My to mark the iPhone as lost or erase it. With App Lock on, Remindly on that iPhone stays locked behind its passcode.
