Lock a note or a whole notebook

Lock a single note, or every note in a notebook, with one passphrase. Remindly stores only the locked text and files, so search, sharing, email and Claude can't read them. A forgotten passphrase can't be recovered.

  • 3 minutes
  • Works on Web, iPhone, iPad, Mac
  • Remindly Pro
  • A passphrase you can remember

Set a passphrase

You do this in the web app, once for the whole account. The same passphrase locks every note and notebook. It is not your sign-in password, and Remindly never stores it.

  1. Open the web app and go to Settings → Account.

  2. Under Locked notes, type a passphrase and type it again.

Use at least 8 characters. A short phrase you don't use anywhere else is easier to remember than a string of symbols.

  3. Click Set Passphrase.

Write it down somewhere safe. If you forget it, the locked notes stay locked. There is no reset and no way for Remindly to read them for you.

Locked notes are part of Remindly Pro. App Lock, the Face ID or Touch ID cover on your phone, is separate and stays on every plan.

Lock a notebook

Locking a notebook locks its name and every note in it, including notes you add later and the files on those notes.

  1. In the web app's sidebar, open the notebook's menu and choose Lock Notebook.

  2. Click Lock.

If this browser hasn't unlocked yet, Remindly asks for the passphrase first.

A locked file’s name is locked too, so the list shows Locked file until you unlock.

To store the name as a normal notebook again, choose Remove Lock… from the same menu. Notes that are already locked stay locked.

Lock one note

Use this for a single sensitive note that lives in an ordinary notebook.

  1. Open the note in the web app.

  2. Open More and choose Lock Note.

You can't lock a passage inside a note. A locked note can't be shared. Its files lock with it. After you enter the passphrase you can add another file, and that file locks too. Moving the note to another notebook leaves it locked. Moving an unlocked note into a locked notebook locks it.

To store it as a normal note again, choose Remove Lock…. If the note is in a locked notebook, move it out first.

Read a locked note

Until you unlock, the list shows Locked note and Locked notebook. Open one and Remindly asks for the passphrase. Click Unlock. The passphrase stays in that browser only until you leave or click Lock on the Locked notes card. A refresh asks again, which is what you want on a shared computer.

To change the passphrase, unlock on that card, type a new one, and click Change Passphrase. The notes stay locked. Other browsers need the new passphrase.

What still works. You can set a reminder on a locked note. The reminder says "Locked note" until this browser is unlocked.

On iPhone, iPad and Mac

The same passphrase works in the apps. In Settings, under Locked notes, choose Unlock and enter it. It stays on that device until you choose Lock or quit Remindly. On a Mac, that card is in Settings → Security.

Open a locked note and choose Unlock. To lock one, open More and choose Lock Note. To lock a notebook, use Lock Notebook in its menu. Files on the note lock with it.

Email to Remindly won't add to a locked note or file a new note into a locked notebook. Claude and ChatGPT skip locked notes too.

If something's not right

I forgot the passphrase
Remindly can't recover it, and can't show you the note. The lock stays until you remember the passphrase.
Is this the same as App Lock?
No. App Lock is Face ID, Touch ID or your passcode on one device. It keeps notes out of sight on that screen. It doesn't encrypt them. A locked note is unreadable on Remindly's servers, on every device, until you enter the passphrase.
Lock Note isn't in the menu
Locking is in the web app and in the iPhone, iPad and Mac apps: open the note and use More → Lock Note. Files on the note lock with it. Set the passphrase first, in Settings, under Locked notes.
What happens to a file on a locked note?
It locks with the note. The list shows Locked file until you enter the passphrase. Search can't read the file until then. If a file is still uploading, wait for it to finish, then lock the note again.
Search can't find the note
That's the point of the lock. Unlock in the web app and the list shows the title again. Share links, Email to Remindly, and Claude and ChatGPT still can't read it.
My iPhone says the note is locked
Choose Unlock on the note and enter the passphrase. It's the same one you set on the web or in Settings.
